Of everything a voice agent can do, reminders have the clearest return. A no-show costs you a slot that cannot be resold, and the call that prevents it costs a rupee or two.
Why calls beat texts here
Reminder SMS and WhatsApp go unread constantly — they arrive in a stream of other notifications and get dismissed with everything else. A phone call interrupts, which is normally a disadvantage and here is the entire point.
The evidence is in the callbacks: reminder calls routinely surface people who had genuinely forgotten and would not have looked at a message.
Timing
Two touches, not one:
- 24 hours before — far enough out that they can still rearrange, close enough to be current.
- 2 hours before — for anyone who did not confirm on the first.
Reminding a week ahead feels organised and does nothing; people forget in the intervening six days.
Pick the cheapest shape that does the job
This is where most reminder programmes overspend. Ask what you actually need back:
- Nothing back? An announcement. Plays one message, hangs up, roughly a third of the cost of a conversation, and dials in parallel so a thousand go out in minutes.
- One answer back? A keypad menu. "Press 1 to confirm, 2 to reschedule, 9 to stop these calls." No speech recognition, so it works on any handset and any line, and every press is logged.
- A real discussion? A conversation — but this is rarer than people assume for a reminder.
Most reminder programmes should be a keypad menu and are built as conversations.
What the message should contain
Four facts and nothing else: who it is about, what the appointment is, when it is, and where. Then the instruction. Anything longer and people stop listening before the time.
"Hello, this is a reminder from Acme. Your interview is confirmed for Tuesday the 14th at 10 AM at our Hyderabad office. To confirm, press 1. To reschedule, press 2."
Measuring it
This is the rare automation with a clean before-and-after. Compare no-show rate for the month before and the month after. If it has not moved, the timing is wrong or the message is too long — both are one edit away.
