A candidate says Tuesday morning works. That fact then has to travel from a transcript into someone's calendar, usually via a person who is doing forty other things. A meaningful share of confirmed availability never becomes a booked meeting for exactly this reason.
What the integration does
Connect Google Calendar and enable the calendar tool on the agent. When a call establishes a time, an event is created on the recruiter's calendar with a Meet link and an invite to the candidate — without anyone re-typing anything.
It fires shortly after the call rather than during it, so any post-call processing has settled first, and it is guarded against duplicates so a re-rated call cannot produce two invites.
Where it earns its keep
Volume. Twenty screening calls a day producing twelve viable candidates is twelve calendar invites, twelve availability checks and twelve chances to make a mistake. At that rate the scheduling is a larger time cost than the calls were.
It also removes the delay. An invite arriving while the conversation is still fresh converts far better than one arriving the next morning, by which point the candidate has spoken to two other companies.
What the prompt has to do
The integration can only book what the conversation established. Vague availability produces nothing.
- Offer options rather than asking openly. "Would Tuesday morning or Wednesday afternoon suit you better?" gets a usable answer; "when are you free?" gets "sometime next week".
- Confirm it back. "So that is Tuesday the 14th at 10 AM." This is what makes it unambiguous in the transcript, and it lets the person correct you.
- Say what happens next. "You will get a calendar invite by email shortly." Otherwise the invite arrives unexplained.
Check the result, not the intent
Each call records whether the event was created, and the reason if it was not. Read that field for the first batch — it is where you discover the agent was collecting times you could not actually book, which is a prompt problem the calendar cannot solve.
The limit
It books; it does not negotiate. If the recruiter's calendar is full at the agreed time, that is a human conversation. Treat automated booking as removing the typing, not the judgement.
